These Terms & Conditions (“Terms”) set out the rules for using the PocketCarer software and services (“PocketCarer”, “we”, “our”, “us”). PocketCarer is provided by Pocket Manager Ltd, a company registered in England & Wales (Company number: 12564168) with registered office at SME Centre of Excellence, Main Street, Ponteland, Newcastle Upon Tyne, England, NE20 9NH. Pocket Manager Ltd is registered with the Information Commissioner’s Office under registration number ZB158073.
By creating an account or subscribing, you agree to these Terms. Please read them carefully.
1. About PocketCarer
PocketCarer is a digital platform designed to support self-employed carers, micro-teams, families and individual employers with care planning and business management tools. We are not a regulated care provider, do not employ carers, and do not supply care services.
2. Accounts & Access
- You are responsible for keeping your account login details secure.
- If you invite carers, relatives or team members, you are responsible for managing their access and permissions.
- Organisations and families confirm they have authority to create and manage accounts on behalf of their team or household.
3. Relatives App
- The Relatives App provides invited family members or nominated contacts with view-only access to records.
- Account holders are responsible for managing invitations and removing access when no longer required.
4. Subscriptions & Payments
- PocketCarer offers free and paid subscription plans.
- Subscriptions are billed monthly or annually in advance.
- By subscribing, you authorise us (via Stripe, our secure payment processor) to take recurring payments until you cancel.
- You must ensure your payment details are kept up to date to avoid interruption of service.
5. Cancellations & Refunds
- You can cancel your subscription at any time via the PocketCarer web app.
- Cancellation will take effect at the end of your current billing period (monthly or annual). You will continue to have access to paid features until then.
- Once your paid subscription ends, your account will automatically revert to the free Basic version.
- We do not provide refunds for unused time, partial months, or annual subscriptions.
- In exceptional cases, we may offer a refund at our sole discretion, but this is not our standard policy.
6. Data & Retention
- All information you enter into PocketCarer remains your responsibility.
- If your paid subscription ends, your account will revert to the free Basic version. Your data will remain securely stored, but features linked to paid plans will be locked.
- You are responsible for downloading and storing any data you may need for your own records, legal obligations, or professional requirements.
- Accounts on the free Basic plan that remain inactive for 12 months (no login) will be scheduled for deletion.
- One month before deletion, we will notify you. After deletion, your account and data cannot be recovered.
- If you return after deletion, you will need to create a new account.
7. Service Availability
- We aim to keep PocketCarer available and working at all times but cannot guarantee uninterrupted service.
- From time to time, we may carry out maintenance or updates that may affect access.
8. Appropriate Use
- PocketCarer is designed for self-employed carers, micro-teams, families and individual employers. It is not intended for CQC-regulated agencies or large-scale managed care businesses.
- You must not misuse PocketCarer by attempting to hack, reverse-engineer, or overload the system.
- We reserve the right to suspend or terminate accounts that misuse the platform or breach these Terms.
9. Liability
- PocketCarer provides tools to support care recording and business management. We are not responsible for the accuracy of the information you, your family, or your team enter.
- PocketCarer does not replace professional advice or regulatory requirements.
- To the maximum extent permitted by law, we are not liable for any loss of data, income, or reputation arising from use of the service.
10. Changes to These Terms
- We may update these Terms from time to time. If changes are significant, we will notify you via email or in-app notification.
- Continued use of PocketCarer after changes means you accept the new Terms.
